Processing Statuses

Recordings go through several stages during processing:

New (new):

  • Recording has been uploaded
  • Waiting to enter processing queue
  • Usually transitions quickly to next stage

Split (split):

  • Recording is being split into segments
  • Large files are divided for efficient processing
  • This stage is typically fast

Transcribe Queue (transcribe_queue):

  • Recording is queued for transcription
  • Waiting for available processing resources
  • Queue time depends on system load

Transcribed (transcribed):

  • Transcription is in progress
  • Audio is being converted to text
  • Speaker detection is happening simultaneously

Done (done):

  • Processing is complete
  • Transcript is available
  • AI summaries are generated
  • Recording is ready for use

Error (error):

  • Processing encountered an error
  • Can be reprocessed (if reprocess count is 0)
  • Check error details for troubleshooting

Processing Time Estimates

Typical processing times:

  • Short recordings (< 15 minutes): 2-5 minutes
  • Medium recordings (15-60 minutes): 5-10 minutes
  • Long recordings (1-2 hours): 10-20 minutes
  • Very long recordings (> 2 hours): 20-30 minutes

Note: Processing time depends on file size, duration, audio quality, and system load. Most recordings process within 10 minutes.

Status Notifications

You'll be notified when:

  • Processing starts: Recording enters the processing queue
  • Processing completes: Recording is ready to view
  • Processing fails: Error notification with reprocess option

Notifications appear:

  • In the platform notification center
  • Via email (if enabled in settings)
  • On the recording card/list view

Reprocessing Recordings

If a recording fails to process:

  1. Navigate to the recording
  2. Look for the "Reprocess" button (appears on failed recordings)
  3. Click "Reprocess" to retry processing
  4. The recording will re-enter the processing queue

Note: You can only reprocess recordings that failed once. Recordings that fail multiple times will be automatically deleted after some time.

Troubleshooting Failed Processing

Common reasons for processing failures:

Corrupted File:

  • Symptom: File plays but processing fails
  • Solution: Re-upload the file or use a backup copy

Unsupported Format:

  • Symptom: Upload succeeds but processing fails immediately
  • Solution: Convert to MP4, MP3, M4A, or WAV format

File Too Large:

  • Symptom: Upload succeeds but processing times out
  • Solution: Split into smaller files or compress

Poor Audio Quality:

  • Symptom: Processing completes but transcript is poor
  • Solution: Use better quality source material

Network Issues:

  • Symptom: Processing starts but fails partway through
  • Solution: Reprocess the recording

If reprocessing doesn't resolve the issue, contact support with:

  • Recording ID
  • Error message (if visible)
  • File format and size
  • When the error occurred
