Sending invitations, invitation status, resending invitations, cancelling invitations, invitation acceptance.

Team Invitations

Manage invitations sent to potential team members, track their status, and handle invitation workflows.

Sending Invitations

Send invitations to new team members:

  1. From Team Management: Go to SettingsTeam ManagementInvite Team Member
  2. From Dashboard: Use the quick invite option in the dashboard
  3. Bulk Invitations: Invite multiple members at once (Admin and Owner only)

Invitation Form

The invitation form includes:

  • Email Address: Required - must be a valid email format
  • Role Selection: Choose Owner, Admin, User, or Billing
  • Personal Message: Optional message to include in the invitation email
  • Send Copy: Option to receive a copy of the invitation email

Invitation Status

Track the status of all invitations:

  • Pending: Invitation sent but not yet accepted
  • Accepted: Invitation accepted and member has joined
  • Expired: Invitation link has expired (typically after 7 days)
  • Cancelled: Invitation was cancelled before acceptance

View invitation status from SettingsTeam ManagementInvitations.

Resending Invitations

Resend invitations to pending invitees:

  1. Go to SettingsTeam ManagementPending Invitations
  2. Find the invitation you want to resend
  3. Click Resend Invitation
  4. A new invitation email will be sent

Note: Resending an invitation generates a new invitation link. The old link becomes invalid.

Cancelling Invitations

Cancel invitations that are no longer needed:

  1. Go to SettingsTeam ManagementPending Invitations
  2. Find the invitation you want to cancel
  3. Click Cancel Invitation
  4. Confirm cancellation

Cancelled invitations cannot be reactivated. You'll need to send a new invitation if needed.

Invitation Acceptance

When someone accepts an invitation:

  1. They click the invitation link in their email
  2. If they don't have an account, they'll be prompted to create one
  3. If they have an account, they'll be asked to confirm joining
  4. Once confirmed, they're added to your organization with the assigned role
  5. They receive a welcome email and can immediately access the platform

Note: Users can only be members of one organization at a time. If they're already in another organization, they'll need to leave it first.

Invitation Expiration

Invitations expire after a set period (typically 7 days):

  • Expiration Notice: Invitees receive a reminder email before expiration
  • Expired Invitations: Expired invitations cannot be used
  • Renewal: Send a new invitation if an invitation expires
  • Expiration Settings: Owners can configure invitation expiration periods

View expired invitations in the invitations list with an "Expired" status.
