Calendar Integrations

Calendar integrations automatically sync your meetings from your calendar provider, making it easy to track and manage all your scheduled meetings in one place.

Setup and Connection

  1. Navigate to SettingsIntegrations
  2. Find "Google Calendar" in the list of available integrations
  3. Click "Connect" or "Set Up"
  4. You'll be redirected to Google's authentication page
  5. Sign in with the Google account that has access to the calendar you want to sync
  6. Review and grant the requested permissions
  7. You'll be redirected back to the platform
  8. The integration status will show as "Connected"

Auto-Sync Configuration

After connecting, configure your sync settings:

  1. Click on the Google Calendar integration to open settings
  2. Sync Frequency: Choose how often to sync (Real-time, Every 15 minutes, Hourly, or Daily)
  3. Calendar Selection: Select which calendars to sync (primary calendar, specific calendars, or all calendars)
  4. Date Range: Set how far back and forward to sync meetings (default: 30 days past, 90 days future)
  5. Auto-Create Meetings: Enable automatic meeting creation when new events are detected
  6. Save your settings

Meeting Detection

The platform automatically detects meetings from your Google Calendar:

  • Meeting Links: Automatically identifies Zoom, Google Meet, Microsoft Teams, and other video conferencing links
  • Recurring Meetings: Handles recurring events and series
  • All-Day Events: Syncs all-day events and multi-day events
  • Event Updates: Automatically updates meetings when calendar events change
  • Cancellations: Removes or marks meetings as cancelled when events are deleted

Sync Frequency Settings

Choose the sync frequency that works best for your workflow:

  • Real-time: Syncs immediately when changes are detected (requires webhook setup)
  • Every 15 minutes: Checks for updates every 15 minutes
  • Hourly: Checks once per hour (recommended for most users)
  • Daily: Checks once per day (suitable for less active calendars)

Tip: Real-time sync requires additional setup and may have usage limits. Hourly sync is recommended for most users.

Troubleshooting

Meetings not appearing:

  • Verify the calendar is selected in sync settings
  • Check the date range settings
  • Ensure the calendar events have proper permissions
  • Try manually triggering a sync

Sync errors:

  • Disconnect and reconnect the integration
  • Verify your Google account has proper permissions
  • Check if Google Calendar API is enabled for your account
  • Review error messages in the integration status page

Permission issues:

  • Re-authenticate the connection
  • Grant all requested permissions during setup
  • Check Google account security settings
