Data Retention

Control how long your data is retained:

Retention Policies

  • Default Retention: Standard retention period for recordings and data
  • Custom Retention: Set custom retention periods for specific content
  • Organization Policies: Organization-wide retention policies
  • Compliance Retention: Extended retention for compliance requirements

Retention Settings

Configure retention settings:

  1. Go to SettingsData ManagementRetention
  2. Set default retention period
  3. Configure retention rules for folders
  4. Set up automatic deletion policies
  5. Save settings

Retention Exceptions

  • Important Content: Mark content as important to extend retention
  • Legal Hold: Place content on legal hold to prevent deletion
  • Archive: Archive content for long-term storage
  • Export Before Deletion: Automatic export before deletion

Data Deletion

Permanently delete your data when needed:

Content Deletion

Delete individual items:

  1. Navigate to the recording or meeting
  2. Click the Delete button
  3. Confirm deletion
  4. Item is permanently deleted (after retention period)

Bulk Deletion

Delete multiple items at once:

  1. Select multiple recordings or meetings
  2. Click Bulk ActionsDelete
  3. Confirm bulk deletion
  4. All selected items are deleted

Account Deletion

Delete your entire account:

  1. Go to SettingsAccount SettingsDelete Account
  2. Review what will be deleted
  3. Export your data if needed
  4. Enter password to confirm
  5. Type "DELETE" to finalize
  6. Account and all data are permanently deleted

Warning: Account deletion is permanent and cannot be undone. Make sure to export any important data before deleting your account.

Deletion Process

  • Immediate Deletion: Some data deleted immediately
  • Scheduled Deletion: Some data deleted after retention period
  • Backup Deletion: Backups deleted according to retention policy
  • Third-Party Data: Data shared with integrations may have separate deletion policies

Data Export

Export your data for backup or migration:

Export Options

Export your data in various formats:

  1. Go to SettingsData ManagementExport Data
  2. Select what to export:
    • All recordings
    • Transcripts
    • Meeting data
    • User data
    • Integration data
  3. Choose export format (JSON, CSV, or ZIP)
  4. Click Export
  5. Download will be available when ready

Export Formats

  • JSON: Machine-readable format for data migration
  • CSV: Spreadsheet format for analysis
  • ZIP: Compressed archive with all files
  • Custom Format: Request custom export format if needed

Export Contents

  • Recordings: Video and audio files (if within size limits)
  • Transcripts: Full text transcripts in various formats
  • Metadata: Meeting details, tags, folders, and organization
  • User Data: Profile information and preferences
  • Activity Logs: Access and activity history

Export Scheduling

  • One-Time Export: Export data immediately
  • Scheduled Exports: Set up regular automatic exports
  • Export Notifications: Get notified when exports are ready
  • Export History: View past exports and download links
