Calendar Sync

Calendar sync automatically imports your meetings from connected calendar providers, keeping your meeting list up-to-date without manual effort.

Auto-Calendar Sync Setup

To enable automatic calendar sync:

  1. Navigate to SettingsIntegrations
  2. Connect your calendar provider (Google Calendar, Microsoft Calendar, or Zoom Calendar)
  3. Grant necessary permissions for calendar access
  4. Configure sync settings (see below)
  5. Save your preferences

Once connected, meetings will automatically sync based on your configured frequency.

Sync Frequency Configuration

Control how often your calendar syncs:

  1. Go to SettingsIntegrations → Select your calendar provider
  2. Find the "Sync Frequency" setting
  3. Choose from:
    • Real-time: Syncs immediately when calendar changes occur
    • Every 15 minutes: Syncs every quarter hour
    • Hourly: Syncs once per hour
    • Daily: Syncs once per day (recommended for most users)
  4. Save your selection

Tip: Real-time sync provides the most up-to-date information but uses more resources. Daily sync is sufficient for most use cases.

Manual Sync Trigger

You can manually trigger a calendar sync at any time:

  1. Go to the Meetings page
  2. Click the "Sync Calendar" button in the top toolbar
  3. Wait for the sync to complete (usually takes a few seconds)
  4. New or updated meetings will appear in your list

The sync button shows a loading indicator while syncing is in progress.

Sync Status Monitoring

Monitor your calendar sync status:

  • Last Sync Time: View when your calendar was last successfully synced
  • Sync Status: See if sync is in progress, successful, or failed
  • Sync Errors: Review any errors that occurred during sync
  • Meeting Count: See how many meetings were synced

Access sync status from SettingsIntegrations → Your calendar provider.

Meeting Detection Rules

The platform automatically detects meetings based on:

  • Video Conferencing Links: Identifies Zoom, Microsoft Teams, Google Meet, and other video conferencing URLs
  • Meeting Keywords: Recognizes calendar events with meeting-related keywords
  • Event Type: Distinguishes between meetings, appointments, and other events
  • Attendee Count: Considers events with multiple attendees as meetings

Calendar Permissions

Required calendar permissions:

  • Read Calendar Events: To view and sync meetings
  • Read Event Details: To access meeting titles, descriptions, and attendees
  • Read Attendees: To see who is invited to meetings

Security Note: The platform only requests read permissions. We never modify or delete calendar events.
